1. Name. The name of the society is: Mexican Students Society in the United Kingdom (MexSocUK)
2. The Mexican Student Society in the United Kingdom is a non-political, non-governmental and non-profit organisation composed by Mexican/Latinamerican societies (see article 4) officially registered with their corresponding university authority throughout the United Kingdom. All of them have the same guarantees and obligations described in this constitution. Each society is rendered as autonomous.
3. The registered societies are: 1. Birmingham 2. Cambridge 3. University of East Anglia 4. Edinburgh 5. Essex 6. Imperial College 7. London School of Economics & Political Science 8. Manchester 9. Nottingham 10. Oxford 11. Reading 12. Sheffield 13. Southampton 14. Warwick 15. York 16. Sussex 17. Nottingham 18. Liverpool 19. Warwick 20. Cranfield 21. Leeds
4. A Mexican and/or Latinamerican students society, which includes Mexican members, from any university in the United Kingdom can apply to be a member of the MexSocUK and have the obligation to pay fees. Once the Consultative Council (see article 9) has approved the membership, the new member will have the same rights and obligations.
5. Only a society per university will be allowed, giving preference to the society with the larger number of Mexican members.
6. Individual registration. If there is no Mexican society in a given university, an individual registration will be considered. The MexSocUK will promote the development and implementation of a Mexican society in such universities.
Aims
7. The society’s main aims are:
a) To promote cooperation among the different societies;
b) To promote Mexico, its culture and traditions through the exchange of social and cultural events among its members and interested parties;
c) To act as a link among Mexican students in the United Kingdom and Mexican authorities (i.e. the Mexican Embassy, CONACyT, etc.);
d) To promote research and the exchange of educational programmes, as well as the links between academics and students from both nations;
e) To communicate the acquired knowledge and experiences to Mexican institutions and fellow countrymen.
Council composition
8. The MexSocUK is governed by an executive committee and a consultative council.
9. The Executive Committee is composed by the following posts:
a) One President
b) One Vice-President
c) One General Secretary
d) One Treasurer
e) One Communications and Media Secretary
f) One Academic Secretary
g) One Cultural and Sports Coordinator
10. The Consultative Council. The members of the Consultative Council are representatives of each registered society, provided they are not members of the MexSocUK Executive Committee.
11. Posts in the Executive Committee are hold for one year.
12. Functions and obligations of the executive committee positions. The functions and obligations of each member of the executive committee are:
a) The President:
Is the responsible of the Society’s proper working.
Is the personal link.
Should inform the committee about any absence that might compromise the Society’s programmed activities, and S/he will coordinate, along with the vice-president, the continuity of the programmed activities.
S/he shall inform the committee any possible resignation within the committee.
S/he will be the first source of mediation in any given conflict between committee members and the society members.
S/he shall direct, along with the vice-president, the meetings, setting the guidelines for the topics to be dealt with.
S/he will be able to call extraordinary Executive Committee meetings, even with short notice if necessary.
b) The Vice-president:
S/he will support the president in his/her responsibilities when necessary.
S/he shall establish the Term Card’ with the president and show it to the Executive Committee in order to have it approved.
S/he will be the substitute of the president when S/he should be absent, due to sickness or overlapping commitments. The vice-president will assume president’s responsibilities such as being the chair of the meetings or representing the Society in public acts.
S/he shall direct, along with the president, the meetings, setting the guidelines for the topics to be dealt with.
c) The General Secretary:
S/he shall be responsible of the administration, the memberships and correspondence.
S/he shall be responsible of organizing the meetings according to the interests of the majority of the Executive Committee.
S/he will be responsible of carrying a session log in the meetings and to communicate it to the members within the next three working days.
S/he will keep an updated roll with all the society members, and will inform the Committee about any change.
S/he shall be the main source of information among the members about the Society programmed events.
d) Treasurer:
S/he shall be responsible to keep the Society finances updated. S/he will collect the membership fees and keep the membership roll updated, including paying and morose members.
S/he shall produce an annual report including the Society financial transactions. The annual report must be approved by the Executive Committee before being presented to all the members.
e) Communications and Media Secretary:
S/he shall be responsible of informing about the Society’s events
S/he shall be responsible of designing, maintaining and registering the Society’s web page.
S/he shall be responsible of keeping record of the relevant moments from the Society’s activities.
S/he shall be responsible of moderating the electronic communications and keeping updated the Society e-mail addresses.
S/he shall be responsible of informing to the media about the Society relevant events.
f) Academic Secretary:
S/he shall be responsible of coordinating the Society academic activities such as conferences and lectures.
S/he shall be responsible of producing the promotional material for academic events.
g) Cultural and Sports events Coordinator:
S/he shall be responsible of the coordination of the Society cultural and sports activities.
S/he shall be responsible of producing the promotional material for cultural and sports events.
Voting
13. Each society has a single vote even if they have a member in the Executive Committee.
14. Individual registrations have no right to vote.
15. In case of inability to attend the meetings, the Society will be in possibility of sending their vote via e-mail addressed to the Executive Committee at least with three working days in advance.
Elections
16. During the annual meeting the Committee will be elected, this cannot have more than two members from the same university.
17. In case of any resignation from a member of the Executive Committee, this will be elected from a member of the Consultative Council to take over the vacancy.
18. Re-election will be permitted once with the exception of the president position in the Executive Committee.
19. The president of each Mexican Society is the only representative in the Society.
20. The positions are for each society not personal.
The Sessions
21. Annual Meeting. During the last week of October, the committee will hold a session of the annual meeting, where the next activities programme will be defined, and the new Executive Committee will be elected. Each society will present their new representative.
19. Date and place will be defined 14 days prior by the Executive Committee.
20. General Meetings. The Executive Committee can call these meetings in order to deal with the relevant topics to the Society as well as to the other Societies.
Modifications to the constitution
22. To modify this constitution it will be necessary to count with the approval of 75% of the societies. The societies who want to make a change in this constitution should send their petition to the Society, which, in turn, will inform the other societies. The voting will take place during a General Meeting. The proposal must be submitted at least within 14 working days prior in order to be taken into account, otherwise it will be taken into account until the next general meeting.
23. Modifications effectiveness. Any modification will be effective 14 days after being approved if there is not any appeal by any society and their respective reasons. If there is any appeal, the Committee will decide if it is accepted or rejected.
